Help and onboarding

How Chataa works

This guide explains how customers enter booking from your link and how Chataa guides service, date, time, and confirmation.

Before bookings start

What Chataa uses to make booking decisions

Every automated reply is generated from your business settings. Keep these areas updated for accurate booking outcomes.

Services and durations

Clients only see active services. Service duration controls which time slots can be offered without overlap.

Availability and booking window

Dates and times come from your working hours, blocked times, and booking window limits.

Booking entry and handover control

Customers start from your booking link, and owners can pause or resume assistant replies from the dashboard when a human handover is needed.

Booking flow

How a booking completes from start to finish

When triggered, Chataa guides clients through service, date, time, and confirmation in WhatsApp.

1

Client triggers booking

The client opens your booking link and enters the guided booking flow.

2

Chataa opens the guided flow

The assistant starts a structured booking session inside the same WhatsApp chat.

3

Client chooses a service

Only your active services are shown, including price and deposit behavior where configured.

4

Client chooses a date

Dates are offered from your booking window and live availability rules.

5

Client chooses a time

Only valid slots are shown based on duration, schedule, and conflicts.

6

Booking is confirmed

A confirmation message is sent and the booking is saved to your dashboard immediately.

Important behavior to know

  • Chataa never invents services or times. It only uses your configured data.
  • Clients stay in WhatsApp the whole time, so there is no separate app to install.
  • If availability changes, newly shown options update to match the latest schedule.
  • If a selected slot is taken before confirmation, Chataa asks the client to choose another slot.
  • If deposits are required for a service, the flow can request deposit completion before final confirmation.

Owner setup checklist

Use this checklist when onboarding or auditing your account.

  1. Create or review all services, durations, and pricing.
  2. Confirm working days, hours, and any blocked times.
  3. Set your booking window so clients only see dates you want to accept.
  4. Share your booking link where customers can find it and test that routed entry starts the flow.
  5. Decide which services require deposits and how confirmation should behave.
  6. Run a test booking from a customer number and verify the final confirmation appears in your dashboard.

Automation mode

How intentional activation works

Chataa starts booking when the customer enters through your booking link context.

  • Normal greetings and casual chat do not automatically launch the booking flow.
  • Bookings should begin from your booking link or routed booking context.
  • Once triggered, the assistant guides the customer step-by-step without owner intervention.
  • The flow sequence is service, date, time, then confirmation.
  • This reduces noisy auto-replies and keeps conversations intentional.

What happens after booking is triggered

  • Service options are shown first.
  • Date options are generated from your availability settings.
  • Time options are filtered to valid open slots.
  • Booking confirmation is sent after the final valid selection.
